What you need to know about staying with Pioneer Ridge

Pioneer Ridge Booking & Stay Policies

Thank you for your interest in visiting beautiful Steamboat Springs and staying in a Pioneer Ridge managed property. We are delighted you are considering us as your lodging provider during your visit. We have developed the following lodging policies to protect the interests of the individual owner's of our rental properties, the neighbors in the surrounding properties, and to ensure the safety and enjoyment of each of our guests. The policies have been grouped into two catagories:

Booking Policies

SUMMER 2020 DEPOSIT POLICY (May - October)

Nightly/Weekly Guests: An initial deposit equal to 50% of rent is due at the time of booking by major credit card. Final payment is automatically charged to the card on file 7 days prior to arrival. Optional travel insurance premiums are due at the time of booking. Pioneer Ridge reserves the right to cancel any reservation if deposit or payment dates are not met.

Monthly Guests: One month's rent is due at time of booking by major credit card as a non-refundable deposit. Each additional month's rent is due on the monthly anniversary of the arrival date. Pioneer Ridge reserves the right to cancel any reservation if deposit or payment dates are not met. Monthly guests will pay a security deposit in cash or by check equal to one month's rent upon arrival.

SUMMER 2020 REFUND & CREDIT POLICY (May and October)

Nightly/Weekly Guests: Guests may reschedule through the next ski season and apply 100% of all monies paid towards their future reservation. As an alternative to receiving future credit, we offer the following refund policy:

  • Cancellations made 8 or more days prior to arrival (before final payment), guests may opt for a refund less our reservation service fee.
  • For cancellations made 7 days or less prior to arrival (after final payment), guests may opt for a 50% refund.

Monthly Guests: Cancellations forfeit the one month's rent made as a depost at the time of booking.


WINTER 2020/21 RESERVATIONS (November and April except holiday)

Deposit Policy: An initial deposit equal to 50% of rent is due at the time of booking by major credit card. Final payment is automatically charged to the card 30 days prior to arrival. Optional travel insurance premiums are due at the time of booking. Pioneer Ridge reserves the right to cancel any reservation if deposit or payment dates are not met.

Refund & Credit Policy: Guests may reschedule through the next ski season and apply 100% of all monies paid towards their future reservation. As an alternative to receiving future credit, we offer the following refund policy:

  • Cancellations made 31 or more days prior to arrival (before final payment), guests may opt for a refund less our reservation service fee.
  • For cancellations made 30 days or less prior to arrival (after final payment), guests may opt for a 50% refund.

HOLIDAY 2020/21 RESERVATIONS (Christmas & New Years)

Deposit Policy: An initial deposit equal to 50% of rent is due at the time of booking by major credit card. Final payment is automatically charged to the card 45 days prior to arrival. Optional travel insurance premiums are due at the time of booking. Pioneer Ridge reserves the right to cancel any reservation if deposit or payment dates are not met.

Refund & Credit Policy: Guests may reschedule through the next ski season and apply 100% of all monies paid towards their future reservation. As an alternative to receiving future credit, we offer the following refund policy:

  • Cancellations made 46 or more days prior to arrival (before final payment), guests may opt for a refund less our reservation service fee.
  • For cancellations made 45 days or less prior to arrival (after final payment), guests may opt for a 50% refund.


Vacation Home Rental Regulations (City Ordinance)

Pioneer Ridge abides by the City of Steamboat Springs ordinance in regards to vacation home rentals. Each vacation home rental that Pioneer Ridge manages has been issued a vacation home rental license along with a permit number which can be found on the individual property pages of our website. Minimum Night Stay Policy

Minimum night stays vary from season to season and from property to property, often changing regularly depending on occupancy levels. You may do an availability search on any particular property to see if your stay criteria passes our minimum night stay requirements. Due to limitations with our online booking system, we may be more flexible with our minimum night stays if you speak with one of our knowledgeable reservation agents at 888-672-6938.


Travel Insurance

Even the best planned vacation can be interrupted due to illness or other personal circumstances. Optional travel insurance can be included with your reservation. Travel insurance is non-refundable once it has been purchased. We highly recommend that you purchase travel insurance, as we are unable to vary from our cancellation policies.

Damage Waiver Fee

A Damage Waiver Fee is included in the total cost of all reservations. This fee varies from $40 to $90 per reservation depending on the type of accommodation and length of stay. This fee is not insurance. It protects you from incurring expenses related to accidental damage to your rental unit occurring during your stay PROVIDED DAMAGE IS DISCLOSED TO MANAGEMENT PRIOR TO CHECK-OUT.

Stay policies

Checking In & Checking Out:

All guests check-in and check-out at the Pioneer Ridge Office located at 2150 Resort Drive, Steamboat Springs, Colorado 970-879-0517/800-233-8102. Check-in is no earlier than 4:00 P.M. and check out time is 10 am. There are no refunds for early departures. A fee will be charged for any late departures not approved by a member of Pioneer Ridge's management. If there is not incoming arrival for the property, we can extend check-out until Noon for your convenience at no additional charge. Departures beyond Noon are subject to additional fees. Contact our front desk for further information. If there is not incoming arrival for the property, we can extend check-out until Noon for your convenience at no additional charge. There will be an additional fee as well as possible removal of belongings for units not vacated by 10 a.m. Although we try to have every unit ready by 4:00 P.M. during busy times there may be delays. Keys

Only a certain number of keys are allowed per unit depending on the size. Guests must return all keys to our office at time of check out. If a key is lost or accidentally taken home we require a charge of $25.00 per key if not returned to Pioneer Ridge with in seven days of your departure.

Garage Door Openers

If a garage door opener is lost or accidentally taken home we require a charge of $125.00 per garage door opener if not returned to Pioneer Ridge within seven days of your departure.

Dogs

Dogs are ONLY permitted in designated Dogs Friendly properties with prearranged reservations. All dogs must be registered at check-in. A $50.00 per dog/per day (plus tax) fee is required to be paid prior to check-in. A maximum of 2 dogs are allowed per property. If unauthorized pets are discovered on premises a minimum fee of $500 per dog (plus tax) will be charged to the guest's credit card and the guest will be asked to vacate with no refund. If a pet is discovered in a non-pet friendly property a fine of $1000 per pet (plus tax) will be charged to the guest's credit card and the guest will be asked to vacate with no refund. Each guest who brings a dog or dogs must sign the Guest's Acceptance of Responsibility for the Canine Code of Conduct upon check-in.

Smoking

Smoking is not permitted in any of our rental properties. Decontamination charges at a minimum of $250 will be assessed.

Parking Policies

Parking around the base of the Steamboat Ski Resort is always at a premium, and many vacation rental properties only provide 1 parking space per condominium. Additional parking spaces may not be available at the property, especially during peak demand dates, and we will do our best to accommodate additional parking needs offsite. Please travel with One vehicle whenever possible, especially if you are staying in a property with Two Bedrooms or fewer.

No Oversized Vehicles: Oversized vehicles such as recreational vehicles, trailers and boats are not permitted at any of our rental properties and may be towed at the vehicle owner's expense.

Hot Tubs/Pools

There are times when hot tubs and pools are closed for cleaning, maintenance and repairs. There are no refunds if a property’s hot tub or pool is out of service.

Lost and Found

Pioneer Ridge is not responsible for the loss of money, jewelry, or valuables of any kind. All items left behind by any and all guests are the sole responsibility of the guest. If you feel that you may have left an item behind, please call us so that we can search for it. If your item is found, we will have it shipped to you via UPS at your cost. All items not called about or claimed within 2 weeks will be donated to a local charity.

Special Request

All special requests are subject to availability. Each condominium, townhome and home is individually owned. Therefore, views, décor, furnishings and bedding type may vary. We will make every effort to honor your special requests but cannot guarantee them.

Quiet Hours

Several of our properties have their own listing of specific quiet hours. Many local residents strongly defend their rights to peace and will not hesitate to call the police to enforce the local nuisance code that is effective from 7:00 pm until 7:00 am daily. Simply respect your neighbors and refrain from boisterous activity after 7 pm. Any violation of city noise or disturbance ordinances could result in a fine or removal from the property.

Audio/Video Systems

Each Pioneer Ridge property has a different configuration of audio / video entertainment, including televisions, DVD or Blu Ray players, iPod docks, and gaming systems. Many of our property owners have supplied written instructions to assist guests with operating the audio / video systems. If you are having any problem with these systems, you must contact our front desk. If you choose to attempt to reconnect, rewire, or reconfigure any audio / video components in your property, it will result in a minimum charge of $250.

Housekeeping Services & Supplies

All of our guests arrive to a clean and presentable accommodation at the beginning of their stay and have it professionally cleaned upon their departure. Items Pioneer Ridge provides include the following:

  • Linens and towels
  • Bath amenities (bath soap, shampoo, lotion, toilet paper, tissues)
  • Kitchen amenities (dishes, glassware, silverware, dish soap, sponges, paper towels, trash bags, salt/pepper, coffee filters, starter coffee)

Extra towels and replenishment of bath and kitchen amenities are available at no cost during business hours.

A mid-stay clean is provided for stays of 8 nights or more and includes a light cleaning of the kitchen and bathrooms, exchanging towels, emptying trash receptacles, making beds with fresh linens, and vacuuming and dusting living areas and bedrooms.

Additional housekeeping services are available for a nominal fee and may be arranged through the front desk.

Housekeeping at Platinum Properties

Guests staying at Platinum properties receive every other day trash and towel service in the winter only. A mid-stay clean is provided on all stays of 8 nights or longer and includes a light cleaning of the kitchen and bathrooms, exchanging towels, emptying trash receptacles, making beds with fresh linens, and vacuuming and dusting living areas and bedrooms.
