What you need to know about staying with us

Pioneer Ridge Lodging Policies

Thank you for your interest in visiting beautiful Steamboat Springs and staying in a Pioneer Ridge managed property. We are delighted you are considering us as your lodging provider during your visit. We have developed the following lodging policies to protect the interests of the individual owner's of our rental properties, the neighbors in the surrounding properties, and to ensure the safety and enjoyment of each of our guests. The policies have been grouped into two catagories:

Booking Policies

Summer: For stays between May and October

Condominiums & Townhomes: Initial deposit of $250, or one night's lodging, which ever is greater, is required at the time of booking. Final payment is due 30 days prior to arrival. If a reservation is cancelled more than 30 days before arrival, the initial deposit is forfeited. If a reservation is cancelled within 30 days of arrival, full payment is forfeited.

Private Homes: Initial deposit of $500, or one night's lodging, which ever is greater, is required at the time of booking. Final payment is due 45 days prior to arrival. If a reservation is cancelled more than 45 days before arrival, the initial deposit forfeited. If a reservation is cancelled within 45 days of arrival, full payment is forfeited.

Winter: For stays between November and April

Condominums & Townhomes: Initial deposit of $500, or one night's lodging, which ever is greater, is required at the time of booking. Final payment is due 30 days prior to arrival, 45 days for Holiday reservations. If a reservation is cancelled more than 30 days before arrival, 45 days for Holiday reservations, the initial deposit is forfeited. If a reservation is cancelled within 30 days of arrival, 45 days for Holiday reservations, full payment is forfeited.

Private Homes: Initial deposit of $500, or one night's lodging, which ever is greater, is required at the time of booking. Final payment is due 60 days prior to arrival. If a reservation is cancelled more than 60 days before arrival, the initial deposit is forfeited. If a reservation is cancelled within 60 days of arrival, full payment is forfeited.

Reservation changes

Changes made before the final payment is made will be subject to a $100 change fee and is based on availability. No changes to a reservation can be made after the final payment is made. We cannot refund any monies should you decide to shorten your stay.

Vacation Home Rental Regulations (City Ordinance)

Pioneer Ridge abides by the City of Steamboat Springs ordinance in regards to vacation home rentals. Each vacation home rental that Pioneer Ridge manages has been issued a vacation home rental license along with a permit number which can be found on the individual property pages of our website. Minimum Night Stay Policy

Minimum night stays vary from season to season and from property to property. To find the minimum night stay for a specific property during a particular time period, navigate to that property's page and scroll down to the rate table. Minimum night stays are displayed in the rate table for each rate season.

Short Stay Policy: Condominiums/Townhomes

We may take 2 or 3 night stays at certain condominiums and townhomes during specific seasons. Cleaning fees will apply to all stays of 2 or 3 paid nights. The amount of the cleaning fee is dependant on the size of the property according to the following table:

These additional cleaning fees will be collected when final payment is due.

Short Stay Policy: Private Homes

We may take 4 night stays or less at certain private homes during specific seasons. Cleaning fees will apply to all stays of 4 paid nights or less. The amount of the cleaning fee is dependant on the individual property. Please see individual property pages for details.

Travel Insurance

Even the best-planned vacation can be interrupted due to illness, weather or other circumstances beyond control. Optional travel insurance can be included with your reservation to protect your vacation investment from specific unexpected circumstances. Once you receive your confirmation, you have 10 days to review your coverage. If this plan does not meet your needs, you can call us to remove your coverage and receive a full refund provided you have not already left on your trip; after 10 days from receipt of payment, coverage is in effect and the plan is non-refundable. We highly recommend that you purchase travel protection, as we are unable to vary from our cancellation policies.

The premium for the current travel insurance policy equals 6.95% of lodging, tax and fees, and is due at the time of booking in addition to initial deposit. Please click here to obtain your travel insurance policy or certificate of insurance for your Covered Trip if you have paid for or authorized payment for the travel insurance. The travel protection, if purchased, includes insurance coverage for Trip Cancellation, Trip Interruption, Travel Delay, Baggage Delay, Baggage and Personal Effects, Accidental Death & Dismemberment, Emergency Assistance, Medical or Dental Expense, and Rental Car Damage. Please read your document carefully as certain limitations, restrictions and exclusions apply. The insurance coverage is underwritten by Stonebridge Casualty Insurance Company and the non-insurance assistance services are provided by CSA's designated provider. Please contact CSA at 866-999-4018 if you have any questions.

Additional Trip Coverage

Vacation Rental Damage Coverage: A credit card authorization hold will be processed at time of check-in for the amount of $250. In lieu of this hold on available funds, Vacation Rental Damage Coverage may be acquired for a one time nominal fee of $29.00 at time of check-in.

Vacation Rental Damage Coverage for Platinum Properties: All of our Platinum properties include the highest quality decor, furnishings and finishes. In order to protect the owners' belongings, and provide you with peace of mind in the case of unexpected accidents, Vacation Rental Damage Coverage for up to $5,000 is required for all Platinum Properties. We provide this protection for a nominal fee of $29.00.

Protect Additional Arrangements: Planning a vacation does not stop after your lodging reservation has been booked. You may have booked additional arrangements that are essential to your vacation experience that need to be protected. Stay policies

Checking In & Checking Out:

Guests staying at Alpenglow Condominiums, Alpenglow Townhouses, and Howelsen Place Condominiums shall check-in downtown at the Steamboat Hotel Bristol, 917 Lincoln Avenue. For details please click here. If you are arriving during April or May please double check with the Pioneer Ridge office for check-in location as the Hotel Bristol regularly closes during this time.

All other guests will check-in and check-out at the Pioneer Ridge Office located at 675 Snap Dragon Way, Steamboat Springs, Colorado 970-879-0517/800-233-8102. Check-in is no earlier than 4:00 P.M. and check out time is 10 am. There are no refunds for early departures. A fee will be charged for any late departures not approved by a member of Pioneer Ridge's management. If there is not incoming arrival for the property, we can extend check-out until Noon for your convenience at no additional charge. Departures beyond Noon are subject to additional fees. There will be an additional fee as well as possible removal of belongings for units not vacated by 10 a.m. Although we try to have every unit ready by 4:00 P.M. during busy times there may be delays. Keys

Only a certain number of keys are allowed per unit depending on the size. Guests must return all keys to our office at time of check out. If a key is lost or accidentally taken home we require a charge of $25.00 per key if not returned to Pioneer Ridge with in seven days of your departure.

Garage Door Openers

If a garage door opener is lost or accidentally taken home we require a charge of $125.00 per garage door opener if not returned to Pioneer Ridge within seven days of your departure.

Pets

Pets are ONLY permitted in designated Pet Friendly properties with prearranged reservations. If unauthorized pets are on premises a minimum fee of $250 will be charged to the guest’s credit card and the guest will be asked to vacate with no refund.

Smoking

Smoking is not permitted in any of our rental properties. Decontamination charges at a minimum of $250 will be assessed.

Large Vehicles

Large vehicles such as recreational vehicles, trailers or boats are not permitted on site of any of our rental properties and are subject to being towed at the vehicle owner’s expense.

Hot Tubs/Pools

There are times when hot tubs and pools are closed for cleaning, maintenance and repairs. There are no refunds if a property’s hot tub or pool is out of service.

Lost and Found

Pioneer Ridge is not responsible for the loss of money, jewelry, or valuables of any kind. All items left behind by any and all guests are the sole responsibility of the guest. If you feel that you may have left an item behind, please call us so that we can search for it. If your item is found, we will have it shipped to you via UPS at your cost. All items not called about or claimed within 2 weeks will be donated to a local charity.

Special Request

All special requests are subject to availability. Each condominium, townhome and home is individually owned. Therefore, views, décor, furnishings and bedding type may vary. We will make every effort to honor your special requests but cannot guarantee them.

Quiet Hours

Several of our properties have their own listing of specific quiet hours. Many local residents strongly defend their rights to peace and will not hesitate to call the police to enforce the local nuisance code that is effective from 7:00 pm until 7:00 am daily. Simply respect your neighbors and refrain from boisterous activity after 7 pm. Any violation of city noise or disturbance ordinances could result in a fine or removal from the property.

Audio/Video Systems

Each Pioneer Ridge property has a different configuration of audio / video entertainment, including televisions, DVD or Blu Ray players, iPod docks, and gaming systems. Many of our property owners have supplied written instructions to assist guests with operating the audio / video systems. If you are having any problem with these systems, you must contact our front desk. If you choose to attempt to reconnect, rewire, or reconfigure any audio / video components in your property, it will result in a minimum charge of $250.
